Managing Study Status

Studies in Study Hub move through different status phases. This guide explains how to manage these transitions.

Study Status Lifecycle

Opening a Study

Moving a study from StartUp to Opened indicates the study is now actively running.

To Open a Study

  1. Go to All Studies in the sidebar
  2. Click the StartUp filter tab (if not already selected)
  3. Find the study you want to open
  4. Click Details on the study row to open the study
  5. Click the Overview tab (first tab, selected by default)
  6. Click the Open button in the study header
  7. A confirmation dialog appears: "Are you sure you want to open this project?"
  8. Click Open to confirm
  9. The study moves to the Opened filter

What Happens When You Open

  • Study status changes to "Opened"
  • The study appears under the "Opened" filter tab
  • A timestamp is recorded for when the study was opened

Closing a Study

When a study completes its work, you can close it.

To Close a Study

  1. Go to All Studies in the sidebar
  2. Click the Opened filter tab
  3. Find the study you want to close
  4. Click Details on the study row to open the study
  5. Click the Overview tab (first tab, selected by default)
  6. Click the Close button in the study header
  7. Confirm the action in the dialog
  8. The study moves to the Closed filter

What Happens When You Close

  • Study status changes to "Closed"
  • The study appears under the "Closed" filter tab
  • A completion timestamp is recorded

Declining a Study

If a study is not approved or needs to be rejected, you can decline it.

To Decline a Study

  1. Go to All Studies in the sidebar
  2. Click the StartUp filter tab (studies are typically declined before being opened)
  3. Find the study you want to decline
  4. Click Details on the study row to open the study
  5. Click the Overview tab (first tab, selected by default)
  6. Click the Decline button in the study header
  7. A confirmation dialog appears: "Are you sure you want to decline this project?"
  8. You may be prompted to provide:
    • Internal decline note - Reason visible to your organization
    • External decline note - Reason visible to external parties (if applicable)
  9. Click Decline to confirm

What Happens When You Decline

  • Study status changes to "Declined"
  • The study appears under the "Declined" filter tab
  • Decline notes are recorded
  • A decline timestamp is recorded

Viewing Declined Studies

Declined studies have a special view:

  1. Click the Declined filter tab
  2. Declined studies show a red "Declined" badge
  3. The Progress column shows "Status" instead of progress bars
  4. You can still view study details

Reopening/Undeclining Studies

In some cases, you may need to reverse a status change:

  • Undeclining - Moving a declined study back to active status
  • Reopening - Potentially moving a closed study back to open (if supported)

These actions depend on your organization's configuration and your permissions.

Confirmation Dialogs

All status changes require confirmation:

  • A dialog appears asking you to confirm the action
  • The dialog shows which study will be affected
  • You can click Cancel to abort the change
  • Status changes cannot be easily undone

Best Practices

  • Open studies promptly when they're approved to start
  • Add notes before status changes to document the reason
  • Ensure data is complete before closing studies
  • Provide clear decline reasons for accountability
  • Review before confirming - status changes affect reporting
