Managing Study People

Studies involve people - both internal team members and external contacts. This guide covers how to manage people associated with a study.

Types of People

Studies can have two types of people:

Accessing People Management

  1. Go to All Studies in the sidebar
  2. Click Details on the study row to open the study
  3. Click the Details tab (third tab, after Overview and Workflows)
  4. Click People in the filter bar
  5. You'll see lists of current teammates and contacts

Adding a Person

Adding a Teammate

  1. Click the Add button in the Teammates section
  2. Fill in the person details:
    • Select the person from your organization's user list
    • Assign their role on this study
    • Set their workflow affiliations (if applicable)
  3. Click Save to add them

Adding a Contact

  1. Click the Add button in the Contacts section
  2. Fill in the contact details:
    • Name
    • Role/title
    • Contact information
    • Organization (if external)
  3. Click Save to add them

Editing a Person

  1. Find the person in the list
  2. Click the Edit button on their card
  3. Modify the necessary fields:
    • Role
    • Active status
    • Workflow affiliations
  4. Click Save to update
  5. Or click Cancel to discard changes

Person Card Information

Each person card displays:

  • Name - The person's full name
  • Type badge - Teammate or Contact
  • Status - Active or Inactive
  • Role - Their role on this study
  • Workflow affiliations - Which workflows they're involved with

Switching Person Type

You can change a person between Teammate and Contact:

  1. Edit the person
  2. Toggle the type selector
  3. Save the changes

WARNING

Changing type may affect what information is stored and displayed.

Setting Active/Inactive Status

People can be marked as active or inactive on a study:

To Change Status

  1. Edit the person
  2. Toggle the Active switch
  3. Save the changes

When to Use Inactive

  • Person has left the study but you want to keep the record
  • Person is temporarily unavailable
  • Historical tracking purposes

Removing a Person

  1. Edit the person
  2. Click the Delete button
  3. Confirm the deletion
  4. The person is removed from the study

WARNING

Deleting a person removes their association with the study. This cannot be undone.

Workflow Affiliations

Team members can be linked to specific workflows:

  1. Edit the person
  2. In the workflow affiliations section, select relevant workflows
  3. This helps track who is responsible for which processes
  4. Save the changes

Viewing Person Details

Click on a person card to expand and see:

  • Full contact information
  • Role details
  • Workflow assignments
  • Activity history (if available)

Best Practices

  • Keep the team list current - Remove people who are no longer involved
  • Use descriptive roles - Make it clear what each person does
  • Mark inactive vs. delete - Keep records when appropriate
  • Assign workflow affiliations - Helps with accountability
  • Add contacts for all external parties - Maintains a complete record
