Managing Attachments

Study Hub allows you to attach files and documents to studies for reference and record-keeping.

Accessing Attachments

  1. Go to All Studies in the sidebar
  2. Click Details on the study row to open the study
  3. Click the Details tab (third tab, after Overview and Workflows)
  4. Click Attachments in the filter bar
  5. You'll see a list of all attached files

Attachment Card Display

Each attachment shows:

  • File name - The name of the uploaded file
  • File type badge - Indicates the file format
  • Action buttons - Download, edit, delete (based on mode)

Viewing Modes

Attachments support different viewing modes:

Uploading Attachments

To Upload a File

  1. Open the study and navigate to Details tab > Attachments
  2. Click the Upload Attachment button (top right)
  3. Select a file from your computer
  4. The file uploads to secure storage
  5. The attachment appears in the list

Uploading from a Workflow View

You can also upload attachments directly from within a specific workflow:

  1. Open the study and go to the Workflows tab
  2. Select a workflow to view its details
  3. Click the Attachments tab within the workflow panel
  4. Click the Upload Attachment button (top right of the tab)
  5. The attachment is automatically associated with that workflow

This is useful when you want to keep attachments organized by workflow without navigating away from the workflow view.

Permission Required

The Upload Attachment button only appears for users with edit permissions (project admin or collaborator roles).

Supported File Types

Study Hub supports common file types including:

  • Documents (PDF, DOC, DOCX)
  • Spreadsheets (XLS, XLSX)
  • Images (PNG, JPG, GIF)
  • Text files (TXT, CSV)

File Size Limits

Check with your organization for specific file size limits.

Downloading Attachments

  1. Find the attachment you want
  2. Click the Download button (download icon)
  3. The file downloads to your computer
  4. Downloads use secure, temporary URLs

Editing Attachment Details

  1. Switch to edit mode (if not already)
  2. Click the Edit button on the attachment card
  3. Update the metadata:
    • File name
    • Description
    • Content type
  4. Save your changes

Deleting Attachments

  1. Enter edit mode
  2. Click the Delete button on the attachment
  3. Confirm the deletion
  4. The file is removed from the study

WARNING

Deleted attachments cannot be recovered. Ensure you have a backup if needed.

Expanding Attachment Details

Click on an attachment card to expand and see additional details:

  • Full file name
  • Upload date and time
  • Who uploaded the file
  • File size
  • Description (if provided)
  • Tags (if any)
  • Direct download link

File Storage

Attachments are stored securely:

  • Files are uploaded to secure cloud storage (S3)
  • Access is controlled through temporary signed URLs
  • URLs expire after a period for security
  • Files are organized by organization and study

Best Practices

  • Use descriptive names - Rename files to indicate their content
  • Organize logically - Group related attachments
  • Remove outdated files - Delete attachments that are no longer relevant
  • Don't store sensitive data - Follow your organization's data policies
  • Keep file sizes reasonable - Compress large files when possible
