Managing Personal Templates

You can create personal templates for checklists and emails that you frequently use. These templates help you work more efficiently.

Template Types

Checklist Templates

Reusable checklist patterns:

  • Define standard checklist items
  • Import into studies when needed
  • Save time on repetitive tasks

Email Templates

Reusable email content:

  • Standard communication templates
  • Consistent messaging
  • Quick access when needed

Accessing Your Templates

  1. Click your avatar at the top of the sidebar (or the gear icon at the bottom) to open your Profile
  2. Scroll to the Templates section
  3. View your checklist and email templates

Checklist Templates

Creating a Checklist Template

  1. Click Add Checklist Template
  2. Enter template details:
    • Name - Identify the template
    • Items - Add checklist items
  3. Save the template

Managing Items

For each checklist template:

  • Add new items
  • Edit existing items
  • Reorder items
  • Remove items

Importing and Exporting

Checklist templates support:

  • Import - Load templates from files
  • Export - Save templates for sharing or backup

Using Checklist Templates

When working with studies:

  1. Navigate to the study's checklists
  2. Choose "Add from Template"
  3. Select your personal template
  4. The checklist populates with template items
  5. Customize if needed for this study

Email Templates

Creating an Email Template

  1. Click Add Email Template
  2. Enter template details:
    • Name - Template identifier
    • Subject - Email subject line
    • Body - Email content
  3. Save the template

Editing Email Templates

  1. Find the template in your list
  2. Click to edit
  3. Modify subject, body, or name
  4. Save changes

Using Email Templates

When you need to send standard communications:

  1. Access your email templates
  2. Select the appropriate template
  3. Copy or use the content
  4. Customize for the specific situation

Template Management

Viewing Templates

Your templates display:

  • Template name
  • Template type (checklist/email)
  • Item count or preview
  • Edit/delete options

Editing Templates

  1. Click on a template
  2. Modify as needed
  3. Save changes

Deleting Templates

  1. Find the template to delete
  2. Click Delete
  3. Confirm deletion
  4. Template is removed

WARNING

Deleting a template doesn't affect checklists or content already created from it.

Best Practices

For Checklists

  • Name descriptively - Make purpose clear
  • Keep focused - One checklist per task type
  • Review periodically - Update as processes change
  • Share best practices - Coordinate with team on standard templates

For Emails

  • Use clear subjects - Make purpose obvious
  • Keep body flexible - Leave room for customization
  • Update regularly - Keep messaging current
  • Include placeholders - Mark areas to fill in
