Glossary
This glossary defines key terms used throughout Study Hub.
A
Active Status
A study status indicating the study is in its initial startup phase. Also called "StartUp" in the interface.
Ancillary Team
A support team type that doesn't appear in main team selection dropdowns. Used for administrative or support staff.
Attachment
A file or document uploaded and associated with a study.
Attribute Set
See Field Template.
B
Base Fields
Core fields that are present on all studies regardless of selected templates. Includes study title, PI, team assignment, and coordinators.
C
Checklist
A list of items that can be checked off to track task completion on a study.
Checklist Template
A reusable checklist pattern that can be applied to studies.
Closed Status
A study status indicating the study has been completed.
Contact
A person associated with a study who is external to the organization. Compare with Teammate.
Credentials
Professional qualifications for investigators (MD, DO, APRN/NP, or None).
D
Declined Status
A study status indicating the study was rejected or not approved.
Delay (Workflow)
A status that can be applied to a workflow or workflow step to indicate an external hold period (e.g., sponsor delay, regulatory hold). Delays can include start and end notes for documentation.
E
External
Visibility setting indicating information can be seen by users outside the organization. Displayed as "Ext" badge.
F
Field Template
A collection of custom fields that can be added to studies. Also called "Information Attribute Sets."
Follow-up
A personal reminder set on a study note for a specific date.
I
Information Attribute Set

Internal
Visibility setting indicating information is only visible to organization members. Displayed as "Int" badge.
Investigator
A research personnel record (often a Principal Investigator) that can be assigned to studies. Can be linked to user accounts.

Mention
A tag in a study note that notifies a user or team. Creates an inbox notification.
Milestone
An individual step within a workflow with an associated date.
N
Note
A text entry on a study used for documentation, communication, and tracking. Can include mentions and follow-ups. Notes can be threaded with replies to create conversations.
O
Opened Status
A study status indicating the study is actively running.
Organization (Org)
A multi-tenant container representing a research institution or company. Contains users, teams, studies, and configuration.
Organization Admin
Role with full administrative control over organization settings (org_admin).
Organization Viewer
Role with read-only access to organization settings (org_viewer).
P
Personal Mention
A mention where a specific user was tagged in a note.
Principal Investigator (PI)
The lead researcher assigned to a study. Selected from the investigators list.
Process Template
See Workflow Template.
Profile
A user's personal account settings and information.
Project
Another term for Study.
R
Reply
A response to an existing note that creates a threaded conversation. Replies automatically inherit their parent note's workflow associations.
Role
A permission set assigned to users that determines what features they can access.
S
Session
An authenticated user's login session, managed through secure tokens.
Single Site
An organization type representing a single research location.
Site Network
An organization type representing multiple research locations.
StartUp
See Active Status.
Step
An individual milestone within a workflow.
Study
A research study or project managed in Study Hub. Contains information, workflows, notes, people, and attachments.
Study Status
The lifecycle phase of a study: Active/StartUp, Opened, Closed, or Declined.
T
Tag
See Mention.
Thread
A conversation consisting of an original note and its replies. Threads keep related discussions grouped together.
Team
A group of users within an organization. Studies are assigned to teams.
Team Admin
Role with team management access (team_admin).
Team Mention
A mention where an entire team was tagged in a note.
Teammate
A person associated with a study who is a member of the organization. Compare with Contact.
Template
A reusable pattern for fields, workflows, checklists, or emails.
U
User
An authenticated person with access to Study Hub.
W
Workflow
A series of steps/milestones tracking a process on a study. Each step has a name and date. Studies can have multiple instances of the same workflow type.
Workflow Instance
A specific occurrence of a workflow on a study. When the same workflow type needs to run multiple times (e.g., multiple amendment cycles), each run is a separate instance with its own dates and progress.
Workflow Template
A reusable workflow pattern that can be assigned to studies. Also called "Process Template."
